| Meeting | Consultancy retainer — weekly |
| Date | Wednesday 15 July 2026, 14:00 |
| Duration | 9m 38s |
| Attendees | Jacqui Fox, Rebecca Gill (Trinzo); Hannah Vestergaard (Brantwood Medical) |
| Did not attend | Ravi Chandrasekaran (Brantwood Medical) — accepted the invitation but was on the fill area floor with his phone off until 16:00 |

## Objectives
Not met. The agenda consisted of the validation protocols, the deviation and the supplier audit report, all of which sit with Ravi Chandrasekaran, who did not attend. The session was closed after approximately ten minutes and rescheduled.

## Executive Summary
No agenda item was discussed. Hannah Vestergaard confirmed that every item belonged to Ravi Chandrasekaran and that she had no update on any of them, having been on a lead auditor course all week. Jacqui Fox declined to work through his items in his absence, on the grounds that it would produce an interpretation that would have to be repeated with him present.

Rebecca Gill reported that the tracker has not moved since 8 July, with the three validation protocols in draft against Ravi Chandrasekaran's name for two weeks. Whether these are blocked by a substantive obstacle or by available time is not known, and Jacqui Fox asked for that to be established before the rescheduled meeting so that any real blocker can be worked on in the interim. A permissions issue was also identified: Rebecca Gill can see the protocol folder but not the deviation folder.

## Key Discussion Points
| Topic | Discussion | Outcome |
|---|---|---|
| Attendance | Ravi Chandrasekaran accepted the invitation and was seen on site that morning, but was scheduled on the fill area floor where phones are not permitted, until 16:00. | Meeting closed and rescheduled |
| Agenda coverage | The validation protocols, the deviation and the supplier audit report all sit with Ravi Chandrasekaran. Hannah Vestergaard had no update on any, having been on a lead auditor course. | Nothing covered |
| Tracker status | No movement since 8 July. The three validation protocols have been in draft against Ravi Chandrasekaran's name for two weeks. Rebecca Gill noted this is not a criticism given absences. | Noted |
| Protocol blockage | Unknown whether the protocols are blocked by a substantive obstacle or by available time. Hannah Vestergaard's expectation is time. Jacqui Fox asked for this to be confirmed rather than assumed, so that a real blocker could be started on immediately. | Question to be put to Ravi Chandrasekaran |
| Folder permissions | Rebecca Gill can access the protocol folder but not the deviation folder, which she believes was set up by Ravi Chandrasekaran. | To be raised with him |
| Rescheduling | Ravi Chandrasekaran is on the plant floor Thursday; Hannah Vestergaard sits an examination Friday; Monday is his production meeting. Rebecca Gill is unavailable Tuesday morning. | Tuesday 21 July at 14:00 |

## Actions
| Owner | Action | Due |
|---|---|---|
| Hannah Vestergaard | Place the rescheduled meeting in Ravi Chandrasekaran's diary directly, rather than a Trinzo invitation | 15 July |
| Hannah Vestergaard | Ask Ravi Chandrasekaran whether the three validation protocols are blocked by a substantive obstacle or by available time | Before Tue 21 July |
| Hannah Vestergaard | Ask Ravi Chandrasekaran to correct Rebecca Gill's access to the deviation folder | Before Tue 21 July |

## Note
Jacqui Fox stated during the call that she would not issue minutes for this session as there was no substantive content. These minutes are produced for evaluation purposes; in live use the correct behaviour is to produce them and let the consultant decide whether to send.
